Airport transfers are one of the most frequently booked trips we run, and also one of the easiest to get slightly wrong — a mismatched vehicle, a missed flight update, or an unclear meeting point can turn a simple pickup into a stressful start or end to a trip. Here's how to book one properly.

Match the vehicle to the party, not just the headcount

A Sienna is often the practical choice for a small party with airport luggage — quick to load, quick through the car park. A Hiace or Coaster makes more sense when a whole delegation or extended family is arriving on the same flight and needs to travel together from the terminal.

Choosing by scenario

• Solo or small group traveller with luggage: a Sienna is fast and easy to spot at pickup.
• Corporate delegation arriving together: a Hiace keeps the group moving as one unit straight from arrivals.
• Family or event group with several travellers: a Coaster avoids splitting the party across multiple cars.
• VIP or security-sensitive arrival: an armoured Hiace for a hardened pickup and onward transfer.

Share your flight number, always

Flight delays are the norm, not the exception, at busy airports. Sharing your flight number when booking an arrival pickup means timing accounts for reasonable delays, and the driver isn't guessing when to arrive. This is the single most useful detail you can give us for an airport booking.

Confirm the meeting point before you land

Meeting points depend on the specific terminal and current airport access rules, which can change. Confirm the exact meeting point with your driver or dispatch contact ahead of arrival rather than assuming it's the same as last time — a five-minute WhatsApp message the day before avoids a confused arrivals-hall search.

Most airport transfer problems trace back to one of two things: no flight number shared, or no confirmed meeting point. Both take thirty seconds to fix in advance.

Round-trip transfers

If you need both a drop-off and a later pickup, book them together rather than as two separate requests — the return pickup time can then be confirmed against your outbound flight details as your travel date gets closer, rather than being guessed at booking time.

Odd hours and waiting time

Early morning and late-night transfers are priced as part of your quote, so mention the specific time when requesting pricing. If your flight is delayed after landing, drivers can accommodate reasonable waiting time, particularly when a flight number has already been shared.
